Business systems
Software shaped around one company's records, roles, steps and rules — not a template adapted afterwards.
Business technology partner
Wikientity is not a web agency. We analyse operations, find where a company loses time, accuracy and control, and design practical digital systems around the way the business actually runs.
Understand the business first. Build the technology second.
Real business problems.
Practical technology solutions.
What we do
Every engagement starts from the operation, not from a product we already wanted to sell.
Software shaped around one company's records, roles, steps and rules — not a template adapted afterwards.
Repetitive actions handled by the system: records, notifications, documents and follow-ups.
Manual and fragmented workflows restructured into clear digital processes people can follow.
New companies established from zero: brand, website, domain, email and the systems behind them.
Our process
The order matters more than the tooling. Nothing gets built before the problem is written down clearly enough that you agree with it.
How the business runs today, in its own words.
Where time, accuracy and money are lost.
The system, the data and the flow between them.
Clean software, delivered in working stages.
Migration, setup and the team using it properly.
Adjustments once real use shows what matters.
Solutions
Companies do not buy software. They buy control over an operation, time returned to their team, or a business that can finally start trading.
Run the operation
When work lives in spreadsheets and inboxes, nobody has a dependable picture of the business. We build the system that becomes the single source of truth.
Custom platforms built around your records, roles and approval steps.
Operational and financial reporting drawn from live data.
Leads, clients, quotes and follow-up tracked in one structure.
Secure areas where clients, staff or partners access what concerns them.
Automate the work
Most operations lose their hours to re-entry, chasing, and assembling reports by hand. Those steps belong to the system.
Notifications, records, documents and follow-ups handled automatically.
Paper and spreadsheet processes rebuilt as structured digital steps.
Existing tools connected so data is entered once, in one place.
Lead capture, qualification, follow-up sequences and channel reporting.
Build the software
Some operations are specific enough that standard products force the company to work backwards. In that case the software should follow the business.
Applications developed for a defined operational job.
Fast, accessible sites built on clean code, ready to extend.
Tools and platforms usable from any device, by any role.
An outside read on what to build, buy, or leave alone.
Launch the business
For a new business, the digital foundation is built once and lived with for years. We set it up as one connected ecosystem rather than seven separate purchases.
Name, identity, colour, typography and the rules that keep them consistent.
The public presence and the domain that carries everything else.
Business email on your own domain, configured and secured.
Brand, site, email, presence and first systems delivered together.
Starting a business
Brand, website, domain, email, social presence and the first internal systems are set up as one system, so each part fits the next instead of being bought separately and stitched together later.
Existing business
We map the current workflow with the people who use it, then build technology that removes the parts costing time and accuracy. Usually these are the symptoms:
Projects
Client work is published with the client's agreement and named. Sector solutions are the systems we design and build for a specific industry.
Sector solution
Transport companies lose control in the gaps between steps: an order arrives by phone or email, planning happens in a spreadsheet, the driver is briefed by message, delivery proof arrives as a photo, and hours and invoicing are reconstructed at the end of the month. Nothing is wrong individually — but nobody can see the whole operation at once.
We build a platform that carries one job through every stage in a single record: order intake, planning and dispatch, assigned vehicle and driver, route and stops, live status, proof of delivery, worked hours, and the invoice that follows from all of it. Planners work from one board instead of five tools.
Client project
HVS Verkeer secures roads and work sites, which means the right people, the right equipment and the right safety measures have to be at the right location every single day. Planning, site details, worked hours and billing were handled separately, so no one had a dependable picture of what was running at any given moment.
We mapped the complete workflow with the client, wrote the technical specification, and designed a platform that holds assignments, workers, locations, safety requirements, hours and invoicing together — a company-side interface for planning and oversight, and a worker-side interface for daily assignments and hour registration.
Sector solution
Early-stage companies rarely lose leads because the marketing was bad. They lose them because nobody followed up on day three. Enquiries sit in an inbox, the founder answers when there is time, and there is no record of which channel produced anything.
We build the layer that makes marketing run without supervision: capture forms feeding a single lead record, automatic segmentation, follow-up sequences by email and messaging, reminders for the human steps that still need a human, and one dashboard showing where the leads actually come from and what they cost.
We describe only what was actually delivered — no invented clients, no invented figures. To discuss a system for your sector, start a conversation.
Built to extend
Every platform we build is structured so the next module fits without a rebuild — a client portal, an internal dashboard, a support centre or a partner login can be added when the business is ready for it.
A private area where clients follow their projects, files and requests.
Live operational reporting for owners and managers.
Role-based access so each person sees only what concerns them.
Documentation and request handling in the same environment.
About
Most business software fails for the same reason: it was chosen before anyone understood the work it was meant to support.
Wikientity is a business technology partner. We are brought in when something in a company needs to work differently — and the answer turns out to be a system, a tool, a process or a piece of infrastructure.
That means the first work is never code. It is understanding how a company earns, delivers and records its work, where the operation loses time, and which of those problems technology can genuinely solve. Some do not need software at all, and we say so.
Business understanding, digital strategy, design and engineering sit in one team, so the analysis and the build are never disconnected from each other.
Projects are delivered in working stages, documented as we go, and handed over completely — accounts, code, domains and data belong to the client, not to us.
No system is proposed before the problem is written down clearly enough that the client agrees with it.
Scope is decided by what the operation requires, not by what is impressive to demonstrate.
Clients own their code, accounts and data, with documentation to keep it running.
Describe the problem in plain terms. We will tell you what can be built, what it takes, and whether technology is even the right answer.
